Village creates registration system to allow limited public attendance at meetings

WILLIAMSVILLE, NY (April 8, 2021) – The Village of Williamsville is initiating a reservation system to allow a limited number of people to attend in-person board meetings.

The first meeting using the new system will be the Village Board work session and regular meeting set for Monday, April 12. The 6 p.m. work session and 7:30 p.m. regular meeting will be held in the auditorium at Village Hall, 5565 Main St.

The village’s boards and committees have been meeting remotely since April 2020 due to the pandemic. As COVID-19 vaccines continue to be distributed, and federal, state and county restrictions are being eased, village officials will allow in-person meetings using current social-and physical-distancing guidelines.

In complying with the state’s current physical distancing guidelines, the Village Board meeting will be restricted to the first 14 registered attendees. Anyone who is not registered to attend the meeting will not be admitted.

In-person meeting rules include:

  • Upon entry, each person will have their forehead temperature scanned by a floor-standing thermometer.
  • Except when seated, facemasks must be worn by attendees.
  • No food or drinks are allowed in the auditorium.
  • Seats – which are spaced at least 6 feet apart – may not be moved.

To register for the meeting, interested people should visit At the homepage, users should click on the yellow bar labeled “Village Calendar & Meetings.” Then, a calendar on the screen will  list the upcoming meetings. Users can hover over the meeting they want to reserve a seat for and click “Reserve My Seat,” or click the red button above. The link will lead directly to a registration portal to formally request a ticket to attend the meeting.

Tickets are available in two groups: a single seat ticket or a paired seat ticket. Selecting the paired seat option reserves two seats next to each other; only one ticket is needed to reserve paired seats. Users will input their names, addresses and phone numbers. Reservations for the Village Board meeting must be made by 2 p.m. Monday, April 12.

All registrants will receive a confirmation email that includes a virtual ticket. Attendees may either print their ticket and bring it with them or display it on their smart phones upon entering Village Hall. 

For anyone who wants to attend but doesn’t have access to a smartphone or computer, reservations can also be made by calling Village Hall at 716-632-4120.

To allow further public participation, the village will continue to record and broadcast upcoming Village Board meetings via Zoom. The Zoom recording will be uploaded to the village’s online meeting archive on its website. Zoom access information is also posted on the “Village Calendar & Meetings” portion of the site.

During the April 12 meeting, virtual and in-person attendees can address the Village Board during the regular meeting’s public hearing and Suspension of Rules portions of the agenda. The meeting’s agenda will be posted the afternoon of April 9.

The public may not address the Village Board during work sessions.

Additionally, as some village boards and committees begin returning to in-person meetings, a current gubernatorial executive order still allows municipal panels to meet remotely as long as the public is provided access and the sessions are being recorded for posting to a website.
